Location:            Ibis Queen’s Quarter, 75 University Street, Belfast, BT7 1HL

Department:       Reception / Restaurant / Bar

Reports to:         General Manager / Front Office Manager / Manager on Duty

Hours of Work:   32 hours

Rate of Pay:        £7.70 per hour

Job Overview

Anticipate guest needs and deal with all guest enquiries in a pleasant, efficient manner, ensuring the Front Desk operates in an efficient and organised manner

Provides a high standard of service both in terms of ensuring the guests are warmly welcomed, and orders are taken efficiently and served to standard for both food and beverages

Set-up of Kitchen and Restaurant area in preparation for Breakfast, including cooking food items for the Breakfast buffet

Duties and Responsibilities

Customer Relations:

  • Provides a friendly and personalised welcome for guests
  • Offers attentive service and adapts to any constraints guests may have
  • Heeds any remarks made by guests and ensures follow-up
  • Establishes good relations with guests
  • Answer telephone in a speedy, professional manner with an appropriate greeting
  • Is attentive to guests’ requests and respects them
  • Helps gain customer loyalty through the high standard of service

 Professional Techniques / Production:

  • Ask guest to fill in registration card and reconfirm guest booking in computer system with guest, ie, number of nights stay, rates, etc.
  • Check method of payment and take imprint of credit card or cash deposit (also take vouchers etc. if applicable). You are responsible for accounts of guests who you have checked in
  • Inform guest of Food & Beverage options, including 24 hour snack menu and Restaurant Menu
  • Enquire if guest would like assistance with luggage
  • Hand guest key card and indicate room number in discreet fashion and indicate location of lifts and Restaurant
  • Ensure that all information is entered onto Computer System in a correct and timely manner
  • Ensure all reservations are accepted, recorded and confirmed (where appropriate) in accordance with Company Policy and in an efficient, courteous and professional manner and file all correspondence accordingly
  • Ensure the Housekeeping Department is aware of all guest requests, etc.
  • Ensure all guest mail, faxes and messages are recorded accurately and delivered promptly
  • Ensure all cash, charges, float and till procedures are carried out in accordance with Company Policy
  • Ensure guest property left behind is passed to the Housekeeping Department for lost property
  • Actively participate in any training and personnel exercises designed to improve standards and performance levels

 Commercial / Sales:

  • Increases the average amount billed by being familiar with sales and promotional activity and upsell at every possible opportunity
  • Awareness of Department’s financial and quality targets and understanding of role within meeting targets

 Management and Administration:

  • Helps meet the department’s targets by respecting the procedures and internal audits applicable in the Hotel
  • Helps manage crockery and appliances by avoiding breakages
  • Work in accordance with standard procedures within each Department

 Hygiene / Personal Safety / Environment:

  • Ensures that the workplace remains clean and tidy and the safety of consumable goods by always respecting HACCP regulations
  • Respects the instructions and safety guidelines for the equipment used
  • Applies the Hotel’s security regulations (in case of fire, etc.)
  • Applies regulations governing the sale of alcoholic beverages
  • Wear clean, suitable uniform and name badge at all times
  • Ensure a high standard of personal hygiene and grooming

Accountability

This job involves working in Food & Beverage and Front Desk areas.  Hours will include weekend shifts

Qualifications and requirements

Essential:

  • Experience within a Night Porter Role
  • 5 GCSEs at Grade C and above to include English & Maths or equivalent
  • High level of IT proficiency
  • Customer Service Skills
  • Excellent Communication and Listening Skills
  • Ability to work in a fast paced environment requiring flexible working and a genuine willingness to help guests and colleagues within the Hotel

Desirable:

  • Experience within the Hospitality Industry
